KA131 Student Mobility for Studies (Program Countries) - Incoming Students


☞ NOMINATION DOCUMENTS (to be provided by the sending intitution)
  • Link of your website announcement for this student mobility within the framework of Erasmus+ program
  • List of all applicants and the selected beneficiaries with their overall points
  • An official document with signature which shows the selection criteria for student mobility determined by your institution
  • Selection Committee Report
    Once you are granted with Erasmus+ ICM funding with ITU make sure to have a Selection Committee preferably assigned by the University President Partner universities are required to form a selection committee that has min. 3 main members and min. 2 substitute members.Partner universities are required to share the copy of the “letter of authorization of the selection committee” with ITU Erasmus and International Mobility Office. Selection Committee is responsible of reviewing all the applications and making the final selection. An Erasmus+ Study Mobility should last minimum 3 months (ideally full semester).Once we have successfully received your nomination, we will send you an application link. You must complete your online application before the deadline.

☞ APPLICATION DOCUMENTS (to be provided by the student)
  • Transcript of Records in English (signed, stamped)
  • Language Certificate in English (signed, stamped)
    ITU needs a certificate of language in English from every exchange student. Prospective student’s language score must be at least B1 level (Intermediate) according to CEFR standards (without considering validity period).
  • Learning Agreement (before the mobility), (signed, stamped) Incoming students are required to send us a Learning Agreement Before the Mobility, prior to their study at ITU. Students will be informed by the details of this requirements after their acceptance is confirmed. Learning Agreement is a document which shows the courses that students will take at the host institution and their equivalents at the home university. It is signed by the home university as well as the departmental coordinators at ITU (students will be informed about their departmental coordinators). The document ensures the course recognition process, which is the main requirement of the Erasmus+ mobility program. However, students and partner institutions should be aware that it is still a tentative course plan and the most accurate course lists of students will be finalized during the course registration period at ITU. For this reason, we kindly suggest students to take elective courses as much as possible, in accordance with the curriculum of their home institutions, which could be recognized by the home university in a smoother way. If the course plans change for some reason, students are expected to submit Learning Agreement During the Mobility in 4-7 weeks. By signing and confirming these documents, HEIs verify the recognition of those courses.

    ITU has an online application system. After completing online application, please print out the form and upload the signed and stamped version into the system
  • Copy of Passport / National ID Card
  • Selection Committee Report

☞ GRANT DOCUMENTS (to be provided by the student)
  • Health Insurance: A health insurance valid in Turkey, which covers the whole period of students’ mobility, is compulsory for all incoming students. The health insurance is necessary for residence permit and scholarship payment. Expenses for insurance policies are students’ own responsibility.
  • Bank Account Information
Erasmus+ International Credit Mobility (KA171 Project) programs require that all granted incoming students must have a bank account in Turkey for the transfer of their grants. According to banking regulations of the country, non-Turkish customers must submit the following:

         ➤ Letter from ITU Erasmus Office ICM
         ➤ Tax number (Vergi kimlik numarası)
In order to obtain a Turkish tax number, please visit one of the tax offices (Vergi Dairesi) in Taksim or in Şişli or get it online via the linkAfter completing the necessary procedures and documents, please visit our office to finalize the grant agreement.

***“Zero Grant” students also have to deliver all required documents to our office and sign the Grant Agreement before their Erasmus+ mobility periods.***

☞ AFTER MOBILITY (to be provided by the student)
    ➤ We would like to remind you that program and partner HEIs are expected to recognize courses that students take at the host institution during their exchange periods At the end of the semester, ITU Erasmus ICM provides an official transcript and certificate of attendance for inbound Erasmus/Exchange students and kindly ask them to submit these documents to their home institutions for the recognition processes.
    ➤ Moreover, at the end of semester and recognition processes, students are kindly expected to send us Learning Agreement After the Mobility and the transcript of records provided by their home institutions with the list of recognized courses. In addition, after completing their mobility, students will receive an Participant Report (EU Survey) via email. They have to fill out the Participant Report and send the PDF version to ITU Erasmus ICM. The remaining 30% of the scholarship payments will be processed after the survey and all documents are sent to the ITU Erasmus Office ICM.

☞ DOCUMENTS FORMAT

  ➤ The documents in the format of photograph will not be accepted. We kindly ask you to submit the clean, scanned version of the required documents in PDF format.
