BEFORE MOBILITY

The nomination process for our candidate students is coordinated by the ITU International Relations Coordination Office - International Exchange Programs Office. Nominations are first processed for the Fall Semester and Fall-Spring Semesters, followed by the Spring Semester.

After the nomination, the host institution will reach out to the students with detailed instructions on the steps required for final registration. To confirm their status as main candidates, students must submit the requested documents and information within the specified deadline set by the host institution.

The following requirements apply to all students, whether placed with or without a grant.

1-Acceptance Letter:
It is the student's responsibility to manage the registration process. The student must apply to the institution where they have been placed, fulfill all necessary application requirements, and obtain an "acceptance letter" (which may be sent via regular mail or e-mail) from the host institution. The ITU International Relations Coordinatorship - International Exchange Programs Office is not liable in the event of rejection by the host institution. If the acceptance letter is not received, students are required to initiate the cancellation procedure as necessary.

2-Online Learning Agreement (OLA):
This document outlines and approves the courses to be taken during the mobility period, with the approval process conducted online. The signatories are the student, the host institution coordinator, and the ITU Erasmus+ department/program coordinator.

As some universities have not yet integrated with Dashboard or similar platforms, the relevant documents may not be visible in their systems. In such cases, the process should proceed until the Erasmus Department Coordinator’s signature is obtained. Once signed, the document should be saved as a PDF and sent via e-mail to the host institution to finalize the signature process.

3-Recognition Sheet (RS):
The Recognition Sheet is a critical document that establishes the equivalence between the courses you take at the host institution and those that will be recognized at ITU. It must be signed by the student, ITU Erasmus+ department/program coordinator, and ITU Faculty/Institute Commission members.

This document ensures that the courses completed at the host institution will be properly credited at ITU. Since it will be used for course recognition after your mobility, it is essential that the courses are matched accurately and comprehensively.

7-Grant Agreement:
After uploading the required documents (items 1-6), all students, regardless of whether they have a grant, must schedule an appointment with our office at least one week before their mobility to sign the Grant Agreement. Please ensure you bring both your visa and passport to the appointment.

IMPORTANT!

Visa Process:
Students are fully responsible for completing their visa procedures, including arranging travel details (accommodation, etc.), booking tickets, and obtaining any additional documents required for the visa. Receiving an Erasmus+ exchange program quota placement from ITU and an acceptance letter from the host institution does not guarantee that a visa will be granted for the country of the host institution. Students who are unable to secure a visa in time (before their mobility) are responsible for initiating the cancellation procedure.

  • Term Change PetitionWithin the scope of Erasmus+ student study mobility, students who have been placed for a single term can change the term they are placed in within the same academic year. The petition below must be filled out and submitted to the relevant Faculty/Institute along with the approval email from the host institution. The responsibility for obtaining and monitoring the Faculty/Institute's approval lies with the student.
  • Waiver PetitionStudents who have been placed for Erasmus+ student study mobility and wish to cancel their mobility must fill out the petition below and submit it to the relevant Faculty/Institute along with the approval email from the host institution. The responsibility for obtaining and monitoring the Faculty/Institute's approval lies with the student. Students who do not submit a waiver request will face restrictions in selecting courses for the semester.
